    Overview

    The Private Bank Administrative Assistant provides high-level administrative and operational support to senior leaders and teams within the Private Bank. This role requires strong organizational skills, discretion in handling confidential information, and the ability to operate effectively in a fast-paced, team-oriented environment. The successful candidate will demonstrate professionalism, attention to detail, and the ability to manage multiple priorities simultaneously.

    Key Responsibilities

    • Provide comprehensive administrative support in a collaborative, team-based environment with flexibility to support multiple leaders and teams as needed
    • Proactively manage complex calendars across multiple time zones, prioritizing meeting requests and coordinating complex meetings, conference calls, and video conferences
    • Manage a high volume of incoming phone calls, delivering professional and accurate communication with senior leaders and clients
    • Coordinate domestic and international travel arrangements, including visa procurement, and process expense reports and invoices in a timely and compliant manner
    • Arrange internal and client meetings on and off campus, including booking conference rooms, coordinating catering, registering guests, and ensuring meeting materials are organized
    • Perform general administrative duties such as time entry, copying, scanning, filing, mailing, archiving, and supporting ad hoc projects
    • Handle highly confidential and sensitive client and business information with the utmost discretion
    • Act as an integral member of the support team, maintaining awareness of priorities and anticipating support needs
    • Adhere to compliance requirements and obtain appropriate approvals as necessary

    Required Skills & Qualifications

    • Prior experience as an Administrative Assistant supporting executives in a complex environment; financial services, private sector, or government experience preferred
