    Job Title: Executive Assistant
    Location: Cohoes, NY
    Duration: 6-Month Contract
    Pay: $25/hour

    Overview

    We are seeking a highly organized Executive Assistant to support advisors and account managers in a fast-paced, team-oriented environment. This role requires strong attention to detail, discretion, and the ability to manage multiple priorities effectively.

    Key Responsibilities

    • Manage complex calendars, meetings, and conference calls, resolving scheduling conflicts
    • Coordinate client and advisor meeting logistics, including travel and expense reporting
    • Handle confidential client information with discretion and professionalism
    • Prepare and distribute correspondence, reports, and internal documents
    • Serve as a professional point of contact for clients and senior stakeholders
    • Support onboarding of new hires and client accounts, including data entry
    • Assist with shipping materials and responding to client requests
    • Perform general administrative tasks (filing, scanning, invoicing, mail processing, etc.)
    • Maintain knowledge of company policies and handle routine matters independently

    Qualifications

    • 5+ years of executive or administrative support experience (financial services preferred)
    • Strong communication, organizational, and multitasking skills
    • High level of professionalism, integrity, and discretion
    • Proactive, detail-oriented, and able to work under pressure
    • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
    • Experience with expense systems such as SAP Concur is a plus

    We are seeking a highly organized and proactive Administrative Assistant with 5+ years of experience to support financial advisors and account managers in a fast-paced wealth advisory and private family office environment. This role requires strong attention to detail, discretion, and the ability to manage multiple priorities while delivering high-quality administrative support.

    Key Responsibilities

    • Provide comprehensive administrative support to financial advisors and account managers, including team backup as needed
    • Manage and coordinate complex calendars, meetings, and scheduling logistics (internal and external)
    • Organize client calls, advisor meetings, and teleconferences, resolving scheduling conflicts as needed
    • Coordinate domestic and international travel arrangements and process expense reports
    • Handle confidential and sensitive client information with a high level of discretion
    • Prepare and distribute correspondence, reports, presentations, and documentation
    • Interact professionally with senior leadership and clients

    We are seeking a Due Diligence Analyst to join a dynamic operations team supporting charitable grant administration. This role focuses on conducting due diligence on charitable organizations, ensuring compliance with IRS regulations governing 501(c)(3) public charities, and helping manage risk related to donor-advised fund grant recommendations.

    The position offers strong exposure to operations, compliance, and nonprofit research, while collaborating with internal teams and charitable organizations to support the grant approval process.

    Key Responsibilities

    Grant Recommendation Review

    • Conduct due diligence reviews on grant recommendations submitted by donors.

    • Verify the charitable status and eligibility of potential recipient organizations.

    • Ensure compliance with IRS regulations governing 501(c)(3) public charities and donor-advised funds.

    Organizational Vetting

    • Research charitable organizations using public and proprietary resources such as IRS databases, GuideStar, and Charity Navigator.

    • Review documentation including IRS determination letters, financial statements, annual reports, and organizational bylaws.

    Risk Assessment & Compliance

    • Identify potential compliance risks, red flags, or conflicts of interest related to grant recommendations.

    • Escalate complex or high-risk findings to senior management.

    • Support adherence to AML and sanctions screening policies related to charitable giving.

    Information Gathering & Communication

    • Communicate with charitable organizations to collect documentation and clarify operational details.

    • Provide updates regarding grant status and information requests.

    • Collaborate with internal teams supporting client requests and grant processing.

    Documentation & Reporting

    • Maintain accurate records of due diligence activities within internal systems and Excel tracking tools.

    • Prepare summaries and reports of due diligence findings for internal review.

    Process & Policy Adherence

    • Follow established due diligence policies and procedures.

    • Contribute to improving operational processes and efficiency.

    Basic Qualifications

    • 1–3 years of professional experience in operations, compliance, research, or due diligence.

    • Bachelor’s degree (BA/BS) required.

    Preferred Qualifications

    • Experience working with donor-advised funds, nonprofits, or charitable organizations.

    • Strong client service and communication skills.
