Job Overview
We are seeking a highly organized and detail-oriented Administrative Support professional to join a fast-paced Private Banking environment. This role provides high-level administrative support to senior business leaders and client-facing teams, requiring discretion, professionalism, and the ability to manage multiple priorities simultaneously. The ideal candidate thrives in a collaborative, team-oriented setting and demonstrates strong judgment when handling confidential information.
Key Responsibilities

Provide comprehensive administrative support in a team-based environment, with flexibility to support multiple teams and provide coverage as needed

Proactively manage complex calendars across multiple time zones, prioritizing meeting requests and coordinating phone, video, and in-person meetings

Handle a high volume of incoming calls, taking accurate and detailed messages while interacting professionally with senior leaders and clients

Coordinate domestic and international travel arrangements, including visa processing, and ensure timely submission of expense reports and invoices

Organize internal and client meetings both on-site and off-site, including room reservations, catering coordination, guest registration, and meeting materials

Perform general administrative duties such as time entry, copying, scanning, filing, mailing, archiving, and ad-hoc project support

Maintain strict confidentiality when handling sensitive client and business information

Act as an integral member of the assistant team by staying informed of priorities and anticipating support needs

Ensure compliance with internal policies and regulatory requirements, obtaining necessary approvals when required
Required Skills & Qualifications

Proven experience as an Administrative Assistant supporting executives in a complex, fast-paced environment; financial services, private sector, or government experience preferred

Exceptional judgment and discretion when handling confidential and sensitive information

Strong interpersonal skills with the ability to collaborate effectively with local and global teams
